Quick Start with My Subscribers

How do I add an email newsletter subscriber?

  • Click Add Subscribers under My Subscribers.
  • Select one or more Subscriber Categories and then select an option for adding subscribers.
  • You can download an empty CSV file template to use with the Upload File feature. This file will be customized for any custom fields you've set up using Subscriber Information under My Account > Settings.
  • Do not use the signup box on your website, which emails a note thanking the subscriber for having just signed up. Your signup box is one of the most important tools for growing your email marketing lists, but it not the right tool for you to use to type in email addresses.

How do I export my email list from other software?

How do I import my opt-in email list?

  • Click Add Subscribers under My Subscribers, select one or more Subscriber Categories, and then choose an upload option: Quick Add, Upload File, or Form Add.

How do I grow my opt-in email lists?

  • Add a Signup Box to the top of every website page and online profiles using our easy Signup Builder under More Features > Personalization.
  • Ask for Email Addresses from your customers and friends and tell them about the benefits of your email list.
  • Add valuable content including Special Email-Only Offers to your email newsletters.
  • Ask readers to click Forward to a Friend to share with colleagues and family.
  • Ask online visitors to Subscribe to your newsletter.
  • Add Subscribe and Forward to a Friend to the top of each email newsletter and email marketing message, under My Newsletters > Create Newsletter > Content Options.
  • Add your email content to search engine results. Click the Publish icon next to newsletters listed under My Newsletters > View Newsletters to grow your online readership and search traffic.

What is a CSV file?

  • CSV is a file format that makes it easy to move detailed email list subscriber data between your contact database or spreadsheet and your MyNewsletterBuilder.com email marketing account.
  • CSV is an abbreviation for Comma Separate Values (.csv) formatted text. The CSV file format can be used to put a speadsheet or database information into a plain text file that can be shared between different programs and databases. Each data field (each type of subscriber information) in a CSV file is separated by a comma, even if it is empty, and each record (each subscriber) is separated by a carriage return on a new line.
  • The best way to edit a CSV upload file is as a spreadsheet in a program such as Microsoft Excel or Google Spreadsheets, where the file formatting is handled transparently. You won’t see the extra commas or straight double quotes. You’ll see each subscriber on a single row with each subscriber field in its own column. Just remember to Save or Export your edited spreadsheet document in .csv format.
  • If you are editing your file as plain text in a word processor or text editor, you will need to pay close attention to formatting. For example, subscriber fields containing commas or carriage returns must be surrounded by straight double quote marks. Straight double quote marks contained within subscriber fields must be doubled so that they can be distinguished from the optional straight double quote marks indicating the beginning or end of a field.

How do I upload a CSV file to Add, Update or Clean Subscribers?

  • Add Subscribers – if you want existing subscribers to be ignored and only new subscribers are added. For example, if you are uploading an older list, you may not want to overwrite more recent contact information.
  • Update Subscribers – if you want existing subscribers to be changed and new subscribers ignored. If you have previously uploaded a file with errors, you can correct the file and use Upload Subscribers to make corrections.
  • Update Subscribers + Add Subscribers – if you want existing subscribers to be changed and new subscribers added, upload the same file using both Update Subscribers and Add Subscribers.
  • List Cleaner – if you want to remove subscribers from one file using a second file.
  • Help Pop-up for Upload CSV File – to upload a file with detailed information, the file must be saved as either .txt or .csv format and meet the following requirements.
    • Each column must have a label in the first row (first line) of the file.
    • One column must be labeled "email".
    • Every subscriber must have an email address in the "email" column.
    • Subscribers without email addresses in the "email" column will be ignored.
    • Column labels must be all lowercase.
    • Column labels may be any or all of the following: email, first_name, middle_name, last_name, company_name, job_title, phone_work, phone_home, address_1, address_2, address_3, city, state, zip, country, custom_1, custom_2, custom_3, custom_4, custom_5, custom_6, custom_7, custom_8, custom_9, and custom_10.

  • These column labels match the Subscriber Tokens in your email content to merge these fields into your email content.
  • International Customers – Use "state" column for province and "zip" column for postal code. For greater control over field names in your signup forms, use Custom Fields. You can name Custom Fields under My Account > Settings > Subscription Preferences. The names you assign to these fields will appear for new subscribers using your Secure-Subscribe™ signup box and links. These names will also appear for subscribers using Subscriber Preferences to update their contact information.

Help with My Subscribers

Categories

  • Search – Use the Search Subscribers feature to Find, Copy, Remove, Confirm or Export Subscribers by email address or name.
  • Category – Category Name – View or Edit subscribers in this category.
  • Description – Optional information, for your eyes only.
  • Subscribers – Total subscribers in this category.
  • Actions for Subscriber Categories
    • custom.gif Edit – Edit category name and description.
    • new.gif Clear – Remove all subscribers from this category.
    • drop.gif Delete – Delete this category.
  • Total Unique Subscribers – Subscribers may be in multiple categories.
  • Add A Category – Create a new, empty Subscriber Category.

Search Subscribers

To Search Subscribers, click the Search button under My Subscribers > Subscriber Categories.

  • Search for – search text in the first name, last name, or email address fields.
    • For example searching for “Bob” will return a list of all your subscribers named “Bob”. Searching for “aol.com” will give you a list of all of your subscribers that have “aol.com” in their email addresses.
  • Search Categories – search All Categories or limit your search to one category.
  • Search – Click this button allows you to find subscribers and perform actions on subscribers that have been found through your search.
  • View All Subscribers – To show all subscribers in a category, choose a category from the list but leave the search field blank or click View All Subscribers.
  • Search Results
  • Actions for Subscriber Search
    • With Selected – Click the check boxes next to the addresses you want to Confirm, Copy, Remove, or Export. Select the appropriate action from the Select Action dropdown list and click the Go button.
      • Confirm Subscribers – send a confirmation email to selected subscribers. Not recommended for active opt-in email lists.
      • Copy to another category – copy selected subscribers to another category.
      • Remove from category – remove selected subscribers from the categories you searched in, not any other categories.
      • Remove from all categories – remove selected subscribers from all categories.
      • Export subscribers – create a CSV file of selected subscribers to save on your computer and use as you wish.
    • Confirm All – send a confirmation email to all found subscribers. Not recommended for active opt-in email lists.
    • Export All – create a CSV file of all found subscribers to save on your computer and use as you wish.
    • Copy All – copy all found subscribers to another category.

Add Subscribers

There are several ways to add subscribers to your email marketing or email newsletter email list.

  • Use this feature to add new subscribers in your email list Subscriber Categories.
    • Existing subscribers are ignored based on email address.
  • Quick Add – Add multiple email addresses by typing or copying into a text field.
  • Form Add – Add email addresses individually with detailed information, using an email list data entry form.
  • Upload File – Upload a file with detailed subscriber information in a correctly formatted Comma-Separated Values text document or spreadsheet.
  • You can download an empty CSV file template to use with the Upload File feature. This file will be customized for any custom fields you've set up using Subscriber Information under My Account > Settings.

Remove Subscribers

Choose between partial removal (list management) and complete removal (unsubscribe).

  • Select Removal Method for Remove Subscribers
    • Remove from Categories – to remove subscribers from selected Subscriber Categories in order to manage lists internally without blocking your ability to add the subscriber to this list or other lists at a later time through Add Subscribers or Update Subscribers.
    • Delete Permanently – to Unsubscribe from all of your lists. You will not be able to use Add Subscribers or Update Subscribers to add these emails back into your lists. These emails can only be added back into your lists by using the Secure-Subscribe™ safe signup subscriber preferences system, which sends a confirmation email to each new or previously deleted subscriber.
  • Select Subscriber Categories for Remove Subscribers
    • If you selected Remove from Categories, you must select at least one category. Subscribers will be removed from Subscriber Categories you have selected based on the email addresses you provide. Select Subscriber Categories by checking the box next to the category name.
    • If you select Delete Permanently, subscribers will be removed from all Subscriber Categories and added to a list of Unsubscribed Email Addresses that require confirmation before being resubscribed. This helps you maintain CAN-SPAM compliance by preventing accidental resubscriptions of opted-out email addresses.
  • Remove Email Addresses for Remove Subscribers
    • Add multiple email addresses by typing or copying text containing email addresses, with other text ignored. This is useful for quickly removing subscribers from an email list.
  • Remove Email Addresses with File for Remove Subscribers
    • Upload a file with email addresses in any text format. This option ignores everything except correctly formatted email addresses. This is useful for quickly removing subscribers by email address using just about any type of text file. Click on the “Browse…” button to select the file containing email addresses you wish to use to remove subscribers.

Update Subscribers

Upload a file in comma-separated values (.csv) format to update or correct existing subscriber information.

  • Use this feature to update existing subscribers in your email list Subscriber Categories.
    • New subscribers are ignored based on email address.
  • Upload Detailed File – Upload a file with detailed subscriber information in a correctly formatted Comma-Separated Values text document or spreadsheet. With detailed subscriber information, you can create professional email marketing solutions using personalized content based on subscriber data.

Manage Bounces

Avoid email list delivery penalties that some Internet Service Providers (ISPs) apply to senders who repeatedly send to invalid email addresses.

  • Bounces – When you have email addresses in your subscriber lists that are no longer valid, they will bounce. This is computer-speak for the “Undeliverable Mail, Return to Sender” error message. The Manage Bounces page shows the newsletters or emails you have sent and how many email addresses have bounced with each mailing. The reasons for bouncing vary. Hard Bounces are generally permanent. Soft Bounces may be temporary.
  • Newsletter Name – click the name of the email newsletter or email marketing message listed in this column to see a list of bounced email addresses and bounce error messages.
  • Sent On – the date the email newsletter or email marketing message was sent.
  • Delete All – only removes the bounce messages without removing email addresses or subscribers with invalid email addresses.
  • Export Soft Bounces – creates a CSV file with all bounced email addresses except Hard Bounces. You can save this file to your computer. To remove these address from your Subscriber Categories, go to My Subscribers > Remove Subscribers and upload this file.
  • Export Hard Bounces – creates a CSV file with all Hard Bounces – email addresses that we received error messages from the mail server stating, “This address does not exist.” You do not need to do anything special to remove these subscribers from your Subscriber Categories. All Hard Bounce email addresses are automatically removed.
  • Message Removal – Bounce messages 21 days old or older are automatically deleted from the system at approximately midnight EST/EDT each evening. My Reports > My Newsletters will still keep track of the number of bounces, but the content of the error messages will not be available. In most cases, this message content is not useful other than being able to distinguish between soft and hard bounces, which our system handles automatically.

List Cleaner

Upload files with detailed subscriber information in a correctly formattted Comma-Separated Values text document or spreadsheet.

  • List 1 – Adds Subscribers
    • The detailed subscriber data in this file is important. This subscriber data will appear in the cleaned file.
  • List 2 – Removes Subscribers
    • The only column that is important in this file is the "email" column. All other subscriber information in this file is ignored.
