Quick Start with My Reports

How do I track my email marketing?

  1. Tracking your email marketing and e-newsletters is automatic with MyNewsletterBuilder, including email open rates and email link click-through tracking.
    • You can turn off tracking for specific email newsletters if desired.
    • Just click the Create Newsletter button, build your email marketing or email newsletter message, Save your message and then click the Send button under My Newsletters.
    • After your newsletter has been sent, you'll receive an email notice.
  2. To access tracking information, click the My Reports link in the menu. You'll be able to access open and click-tracking data for your most recent Sent Newsletters and see tracking in real time.
    • Over the next few hours, you can click the Refresh link or your web browser's Refresh or Reload button to update the Report in real time.
    • Over the next few days, you can return to this web page to see changes.
  3. Click on a Newsletter Name to view a Detailed Report for a Sent Newsletter.
  4. You can click on a number in the List or Detailed Report view to access a report with subscribers related to the number you clicked.

What is the email campaign's Email Open Rate?

  • The Unique Opens under Sent Newsletter Detailed Report tracks the number of recipients who goes to their email inbox, clicks on your email newsletter, and views the newsletter with images. Each email address is only counted once.
  • The Total Opens under Sent Newsletter Detailed Report tracks the number of times someone goes to their email inbox, clicks on your email newsletter, and views the newsletter with images. A single email address may be counted multiple times.
  • The Opened Report lists Unique Opens on the left as email addresses (with either First Name / Last Name or First Opened / Last Opened shown).
  • The Opened Report lists Total Opens on the right as # Opened.
  • If the recipient reopens a recently reviewed email newsletter, the image recently used to tell if the HTML newsletter was displayed may still be "cached" on the recipient's computer, causing the open to not be tracked. This actually helps keep the Total Opens from getting artificially over-inflated in your email campaign statistics for email recipient who use programs that preview and separately display emails.
  • Some computer-based email programs can be set up to download images for html newsletters automatically. This can inflate statistics by a very small amount (less than one percent).
  • Some web-based email programs can open html emails without automatically downloading images. Recipients are able to click on links in these opened emails. These clicks from "unopened" emails are tracked and will appear in your email campaign statistics as a single Open, using the click-through statistic date and time. This method of tracking opens is only active if Link Tracking is not disabled for the newsletter.
  • The number of Opens is not increased if someone clicks multiple links (only if the email is reopened).
  • Note: If a recipient forwards your email newsletter without using the Forward to a Friend feature, opens for the forward email may be counted for the initial recipient. Having a convenient Forward to a Friend link in the Content Header for your email can encourage recipients to use the Forward to a Friend feature for enhanced tracking of the social networking aspect of your email marketing campaigns.

What is email campaign Link & Click Tracking?

  • Link Reports provide a review of your email marketing results by link, accessed by click on the number of Clicks in the Email Campaign Report Summary.
  • Click Reports provide email list subscribers, accessed by clicking on the number of tracked Clicks for each link in Link Reports.
  • If one person clicks a link multiple times, this is not reflected in the Email Campaign Report or Link Report, but you can see multiple click-through statistics for the individual subscriber in the Click Report.
  • Header and Footer links (Subscribe, Unsubscribe, Preferences, etc.) are not tracked in the Link and Click Reports to avoid artificially inflating your email campaign click-through statistics.

How do I create email lists based on reports?

  • You can create Segmented Email Lists from My Reports by clicking the numerical data to view the detailed list of subscribers and clicking the Copy Report button to add the subscribers to a new Subscriber Category. Email marketing list segmentation copy report.png
  • It's best to wait a few days after Sending before creating Segmented Lists based on Open Rate and Click-through tracking statistics, since these tend to change as subscribers periodically check their email mailboxes.

Which email marketing reports are available?

  • Email Campaign Reports – You can generate the reports below for Sent Newsletters by clicking on links in the current report.
    • Sent Newsletter Reports – the default list view with a graph comparing percentage of Opens and Clicks for the most recent Sent Newsletters.
    • Sent Newsletter Detailed Report – for each Sent Newsletter providing a summary of the newsletter and additional detailed statistics.
    • Recipient Report – for each Sent Newsletter showing email addresses that were used when this Newsletter was Sent. The Recipients are the Subscribers in the selected Subscriber Categories at the time this Newsletter was Sent. Subscribers Categories shown are the email contact lists used with this Sent Newsletter.
    • Bounce Report – for each Sent Newsletter showing email addresses that were emailed and generated a bounce message from recipient email servers.
    • Opened Report – for each Sent Newsletter showing email addresses that opened the email message with View Images enabled.
    • Link Report – for each Sent Newsletter showing each Link URL and Link Text or Link Image.
    • Click Report – for each Sent Newsletter showing email addresses for each Link, available through the Link Report.
    • Subscribed Report – for each Sent Newsletter showing email addresses of subscribers who used the Subscribe link in either the email and web page versions.
    • Unsubscribed Report – for each Sent Newsletter showing email addresses of subscribers who used the Unsubscribe link in either the email and web page versions.

How do I customize email tracking reports?

  • Most of our email campaign reports have features for exporting email lists base on your email marketing statistics.

All statistics are updated in real time. Just refresh or reload the report web page.

  • View – Click the number of Sent Newsletters to load in a list view. Also updates the graph of Unique Opens and Unique Clicks as a percent of Delivered (total Recipients excluding Bounces).
  • Refresh – Click to Reload the current view. Also updates the graph of Unique Opens and Unique Clicks as a percent of Delivered (total Recipients excluding Bounces).
  • Newsletter Name – The Name of the Sent Newsletter as it appears in the MyNewsletterBuilder program. This is for your reference.
    • Click the Newsletter Name to view a more detailed report about this Sent Newsletter only.
  • Sent On – Date this Newsletter was Sent to subscribers.
  • Preview preview.gif – Click on the Preview Icon to open a preview of this Sent Newsletter in a new window.
  • Subscribers – Email addresses to which this Newsletter was emailed (including bounced email addresses).
    • Click on the number of Subscribers who received this email to see a detailed report with email addresses that you can export or copy to a new subscriber categories for list segmentation.
  • Bounces – Email addresses sent to that resulted a bounce message from recipient email servers.
    • If there are bounced messages, you can click on the number to view a full report on email addresses that are temporarily undeliverable (Soft Bounce) or permanently invalid (Hard Bounce).
      • Soft Bounce – Email address has a delivery issue that may be temporary, such as a “Mail Box Full” message.
      • Hard Bounce – Email address has a permanent problem that prevents delivery, such as an “Invalid Address” error.
  • Opens – We can verify that these recipients opened the message and viewed images (including the image we use for tracking).
    • Click on the number of Subscribers who opened this email to see a detailed report with email addresses that you can export or copy to a new subscriber categories for list segmentation.
  • Clicks – We can verify that these recipients clicked a link in the email (including the URL redirect which we use for tracking).
    • Click to view Clicked Link Report with detailed click-through statistics for each tracked link. From the Clicked Link Report, you can view subscribers who clicked each tracked link.
  • Subscribed – The number of people who used the Subscribe link in this Sent Newsletter (email and web page versions).
    • Click on the number to view subscribers added using the Secure-Subscribe link in this email to see a detailed report with email addresses that you can export or copy to a new subscriber categories for list segmentation.
  • Unsubscribed – The number of people who used the Unsubscribe link in this Sent Newsletter (email and web page versions).
    • Click on the number to view subscribers removed using the Unsubscribe link in this email to see a detailed report with email addresses that you can export or copy to a new subscriber categories for list segmentation.

Sent Newsletter Detailed Report

  • View – Click the number of Sent Newsletters to load in a list view (instead of the current Detailed Report view). Also loads a comparison graph of Unique Opens and Unique Clicks as a percent of Delivered (total Recipients excluding Bounces) for the selected number of Sent Newsletters.
  • Refresh – Click to Reload the current view.
  • Preview preview.gif – Click on the Preview Icon to open a preview of this Sent Newsletter in a new window.
  • Summary – General overview of this Sent Newsletter.
    • Newsletter Name – The Name of the Sent Newsletter as it appears in the MyNewsletterBuilder program. This is for your reference.
    • Newsletter Id – The unique, sequential number assigned to this Newsletter the moment it was Created. Used for distinguishing newsletters if you have identically named newsletters.
    • Send Id – The unique, sequential number assigned to this Newsletter the moment it was Sent. Used for distinguishing reports statistics if you have identically named newsletters.
    • Subject Line – The 'Subject' visible in recipients' email program mailbox and in the opened email Newsletter.
    • Sender – The 'From' email address visible in recipients' email program and in the opened email Newsletter.
    • Recipients – Email addresses that were used when this Newsletter was Sent. The Recipients are the Subscribers in the selected Subscriber Categories at the time this Newsletter was Sent. Subscribers Categories shown are the email contact lists used with this Sent Newsletter.
    • Sent On – Date and time this Newsletter was finished being Sent to subscribers.
    • First Open – Date and time this Newsletter was first opened with View Images enabled. We track download requests for a 1 pixel transparent image using a unique URL for each newsletter and recipient.
    • Last Open – Date and time this Newsletter was last opened with View Images enabled. We track download requests for a 1 pixel transparent image using a unique URL for each newsletter and recipient.
  • Details – Tracking details for this Newsletter Send.
    • Unique – Each recipient is only counted once, even if we receive data for a recipient multiple times.
    • Percent – Unique as a percentage of the total number.
      • Delivered and Bounced Percent based on Unique number per total number of Recipients.
      • Other Percentages based on Unique number per total number of Delivered messages.
    • Total – A recipient is counted once every time we record data. For example, the same recipient may be counted more than once if the recipient opens the email message or clicks on links in the message more than once.
    • Delivered – Email addresses that were emailed but did not generate a bounce message from recipient email servers.
      • Click on the number Delivered to see a detailed report of Recipients with email addresses that you can export or copy to a new subscriber categories for list segmentation. (Currently, this report includes email addresses that may have bounced.)
    • Bounced – Email addresses that were emailed and generated a bounce message from recipient email servers.
      • If there are bounced messages, you can click on the number to view a full report on email addresses that are temporarily undeliverable (Soft Bounce) or permanently invalid (Hard Bounce).

    • Unsubscribed – The number of subscribers who used the Unsubscribe link in this Sent Newsletter (both email and web page versions).
      • Click on the number to view subscribers removed using the Unsubscribe link in this email to see a detailed report with email addresses that you can export or copy to a new subscriber categories for list segmentation.
