Subscriber Categories

You must have at least one Subscriber Category to manage your subscriber email list contacts. Subscribers may be in multiple Subscriber Categories at the same time. New accounts will automatically have a default Subscriber Category named “General” which is visible to new and existing subscriber through the Secure-Subscribe subscriber system preferences.

You can make Subscriber Categories hidden or visible through My Account > Settings > Subscriber Categories > Hidden Categories.

Subscriber Categories are used to Scheduled and Sent emails and for most functions involving email lists, including automated actions, such as self-starting follow-up emails that can be assigned to Subscriber Categories using Auto-Series.

Tip: Use report results from My Reports, My Surveys, and Subscriber Search to add or copy subscribers to categories or smaller Segmented Lists based on interests.

Subscriber Search

Enter email address, first name or last name and click the Search button to find subscribers.

The Subscriber Search function allows you to find subscribers. You may search by first name, last name, or email address. For example searching for "Bob" will return a list of all your subscribers named "Bob". Searching for "aol.com" will give you a list of all of your subscribers that have "aol.com" in their email addresses.

Add Category

Enter a new Category Name and Description and click the Add Category button to create additional Subscriber Categories for more control over your email lists.

Category Actions

  • custom.gif Edit Category – to Edit a Category Name or Description.
  • new.gif Clear Category – to Clear all subscribers from this category.
  • drop.gif Delete Category – to Delete or Remove a category with the option to remove subscribers from this category or delete subscribers from all categories.

Tip: If you Clear Category or Remove Category, any cleared or removed subscriber that is not listed in another category will still be accessible through Subscriber Search but you will be unable to send to the subscriber until the email address is added to another category.

Use Add Subscribers > Add Email Addresses to add a previously removed or cleared subscriber to another category. This preserves the original subscriber record which may contain additional contact data and custom fields. Deleted subscriber records cannot be recovered, only cleared or removed.

View All

Display all subscriber records in your account.

Export All

Download a file with detailed subscriber information in a correctly formatted Comma-Separated Values text document or spreadsheet to modify and upload back into your MyNewsletterBuilder account.

Use this feature in combination with My Subscribers > Update Subscribers to add contact data from other business organization databases to your MyNewsletterBuilder subscriber records so that you can take advantage of the power of MyNewsletterBuilder to customize your email marketing campaigns with personalized content based on subscriber data.

This feature does not include Category Names and is not appropriate for moving Subscriber data. Instead, click on each individual Category Name and then Export All for each individual category to move Subscriber data while maintaining the integrity of individual opt-in email lists.

Upload a CSV file to Add, Update or Clean Subscribers?
To upload a file with detailed information, the file must be saved as either .txt or .csv format.

  • Add Subscribers – if you want existing subscribers to be ignored and only new subscribers are added. For example, if you are uploading an older list, you may not want to overwrite more recent contact information.
  • Update Subscribers – if you want existing subscribers to be changed and new subscribers ignored. If you have previously uploaded a file with errors, you can correct the file and use Upload Subscribers to make corrections.
  • Update Subscribers + Add Subscribers – if you want existing subscribers to be changed and new subscribers added, upload the same file using both Update Subscribers and Add Subscribers.
  • List Cleaner – if you want to remove subscribers from one file using a second file.

What is CSV?
It’s an abbreviation for Comma Separate Values, a text format in which each block of information, or field, is separated by a comma. Documents with this format are usually saved with a .csv file extention. Each new record – in our case, each new subscriber – is listed on a separate line ending with a carraige return. Fields containing commas or carriage returns must be surrounded by straight double quotemarks. For example, hello, example becomes "hello, example" so that hello and example are put into the same field. Straight double quotes that are part of the subscriber information must be doubled to distinguish from straight double quotes indicating the beginning or end of a field. For example, William "Bill" Clinton becomes "William ""Bill"" Clinton".

Setting up your CSV file
The best and easiest place to edit your upload file is in a spreadsheet program such as Microsoft Excel or Google Spreadsheets, where the file formatting is handled transparently, so you don’t have to worry about extra commas or straight double quotes. You’ll see each subscriber on a single row with each subscriber field in its own column. Just remember to Save or Export your edited spreadsheet document in .csv format.

Requirements

  • Each column must have a label in the first row (first line) of the file.
  • One column must be labeled "email".
  • Every subscriber must have an email address in the "email" column.
  • Subscribers without email addresses in the "email" column will be ignored.
  • Column labels must be all lowercase.
  • Column labels may be any or all of the following: email, first_name, middle_name, last_name, company_name, job_title, phone_work, phone_home, address_1, address_2, address_3, city, state, zip, country, custom_1, custom_2, custom_3, custom_4, custom_5, custom_6, custom_7, custom_8, custom_9, and custom_10.
